FAQ / Knowledge base
Answers to the most common questions: website development, Web Care, AI chatbot, AI voice assistant, marketing automation and content production.
🌐Website development
How long does it take to build the website?
Starter: 5-7 days, Business: 7-10 days, Pro: 10-14 days. The deadline counts from when we receive the materials (text, images, logo) and the access we need.
What is included in the price and what is not?
Included: pages/features according to the package, responsive design, SSL, basic SEO (title, meta, sitemap), basic GA4 tracking, domain + Basic hosting (5 GB) in year 1.
Not included: custom illustration/photography, premium stock licence fees, large-scale copywriting, complex integrations. We send a separate proposal for these.
What exactly does "1 year of domain + hosting included" mean?
1 standard-priced .hu / .com / .eu domain + Basic hosting (5 GB, SSL). From year 2 the renewal is €69/year.
What counts as a change and what counts as a Change Request (CR)?
Change: a typo, a short text swap, reordering 1-2 blocks, replacing 1 image per page.
CR: a new page/feature/integration, a large content expansion, or >30 minutes of work. In these cases we send you a time and cost estimate for approval.
How many rounds of revisions are included in the packages?
Starter: 1 round, Business/Pro: 2 rounds. Beyond that we handle it as a CR (with written approval).
Who writes the text and who provides the images?
By default, you provide the final text and images (the client is responsible for the rights to use them). Content writing and stock image sourcing are available for an extra fee.
What do you take on in terms of SEO and tracking?
Basic SEO (title, meta, sitemap), GA4 events (e.g. form_submit, lead), reasonable performance targets. There is no guarantee of organic results (external factors).
Can I get a multilingual site?
Yes, in the Pro package: language switcher, separate SEO meta per language, separate tracking and reports.
Can I pay in instalments? What are the conditions?
Business/Pro: 6× (+10%) or 12× (+20%). The condition is an active Web Care subscription for the duration, which can be ordered separately. If you cancel early, the remaining instalments are due in one payment.
What does the 14-day QuickStart guarantee mean?
It applies to the onboarding phase: if you are not satisfied within the first 14 days, we refund the setup fee. It does not cover third-party costs or CRs.
🛡️Web Care
What does Web Care include?
24/7 monitoring, updates, security patches, weekly/daily backup, SLA response times, monthly audit report (status + recommendations).
What is the SLA response time?
Lite: 2 working days, Standard: 8 hours, Pro: 4 hours (Mon-Fri 9:00-18:00 CET). Response time ≠ resolution time.
What is the backup strategy and how does restoring work?
Lite: weekly, Standard/Pro: daily backup; retention 14-30 days. Restores are done on a ticket basis, prioritised according to the SLA.
Are content changes included in Web Care?
Suggested: Standard: 30 minutes per month, Pro: 120 minutes per month for small changes (price/CTA/image/text). Lite: technical maintenance.
Do you test on staging before updates?
Yes, in the Pro package: staging/preview, then go-live. In Standard, low-risk updates are released directly.
What uptime do you commit to?
Target 99.9%, excluding third-party/infrastructure outages. Incidents are escalated by P0/P1.
How do I submit a change request under Web Care?
Via a HubSpot ticket form (URL, description, deadline). We confirm and schedule it according to the SLA.
Monthly or yearly subscription?
Both. With yearly you get 2 months free. Pick a package and subscribe straight away with a Stripe link.
🤖AI Chatbot
Which channels does the AI chatbot work on?
Web widget, embedded page, email triage, (optional) social messaging apps. Ticket/lead creation through HubSpot/Make integration.
How is the knowledge base fed and how often is it updated?
Supabase knowledge base; updates Standard: monthly, Pro: weekly (suggested). Versioning and audit log.
What are the limits of the 7-day trial?
Widget tied to your domain, watermark/brand tag, limited interactions (suggested: 100 messages), email verification. A card hold can be requested to prevent abuse.
How does the handoff to a person work?
HubSpot ticket/assignment, email/SMS ping. Outside business hours, an automatic message and callback booking via a calendar (Make).
How are GDPR and data protection handled?
Data controller: Pc System Informatika Kft. Processors: Stripe, HubSpot, Make, Supabase, Cloudflare, Google (GA4). DPA and SCC where needed.
📞AI voice assistant (Voice)
How is the AI voice assistant different from a menu-based IVR?
Natural speech, barge-in (callers can interrupt), low latency and context handling. Not a menu, but a conversation.
How do you calculate the per-minute fee and the included minutes?
Every package includes included minutes (Lite 360 / Standard 720 / Pro 1,450). Overage is €0.33 / €0.30 / €0.27 per minute + VAT. We don't talk about an "effective per-minute rate", and there is no rollover.
Can I pay the setup fee in instalments?
Yes. 6× (+10%) or 12× (+20%) instalments. If you cancel during the instalment period, the remaining setup fee is due in one payment.
What integrations are there?
HubSpot (contact, ticket, call summary), Supabase (FAQ/policy/log), Make (SMS/email follow-up), Stripe (Payment Link). Telephony: EU number and recording.
What happens if the AI can't resolve a request?
Handoff to a live colleague, or a callback request and a prioritised ticket. The caller gets an SMS confirmation.
What do I need to know about data protection and legal compliance?
A short privacy notice at the start of the call (recording, purpose, controller, URL for details). EU hosting preferred, DPA and SCC where needed. Documented incident handling.
Which languages are available?
Default: Hungarian. The Pro package supports HU + EN; other languages by individual arrangement.
How long does onboarding take?
Lite: 3-5 working days, Standard: 5-10, Pro: 10-14, depending on the content and integrations.
Which KPIs do you track?
Answer rate, containment rate, transfer rate, AHT, FCR, CSAT (SMS), conversion to lead/booking. A weekly optimisation routine is recommended.
Is there a demo line or a trial?
A public demo line is available. A private test line with limited minutes can be requested, with domain/phone number and verification.
⚙️Marketing automation
What kind of automations do you build?
Lead qualification, email sequences, cart abandonment, NPS, reactivation, CRM pipeline updates. Using Make + HubSpot + Stripe together.
How is consent management handled?
Double opt-in, preference centre, GDPR logging (consent, withdrawal, purposes), using HubSpot objects.
What do we track and how do you report?
GA4 events + HubSpot KPIs (open, click, reply, MQL, SQL). A monthly audit report with a suggested action list.
What is the hero flow and what are the steps?
Form → lead → nurture (email-only pilot): 1) form submission → HubSpot contact, 2) instant thank-you + time slot/meeting link, 3) SLA alert if there is no activity within 5 minutes, 4) 3-part nurture over 7 days.
Result: faster first contact, more meetings and better quality conversations.
How does the SLA alert work?
If there is no contact for 5 minutes, a Teams message goes to the sales channel (client), and a Slack alert to us (ops). The alert contains the lead's basic details and the next step.
Goal: speed‑to‑lead < 5 minutes.
What happens if you reach the event limit?
Above the limit, an overage of €0.003/event is billed. At +50% overrun there is an automatic stop and an alert, so costs don't run away.
At the monthly close we give you a detailed report on the sources and the ways to save.
What does the 14-day QuickStart/pilot include?
- 3 flows: instant thank-you, SLA alert, 3-part nurture
- List limit: 2,000 contacts; event limit: 5,000/month (Standard package)
- GA4 events: lead_submit, flow_started, email_sent/open/click, conversion
- Acceptance criteria: <5 minutes to first contact, lead→meeting +20% relative, spam rate <0.3%
How do you ensure deliverability?
- SPF/DKIM/DMARC DNS setup and checks
- One-click unsubscribe (RFC 8058), processed within 48 hours
- Google Postmaster monitoring, target: spam rate <0.1% (limit: 0.3%)
- List hygiene (bounces, inactive contacts), warming for a new sending domain
Note: we give recommendations on compliance, this does not count as legal advice.
How do we prepare for Q4 (list warming from September)?
Sept 1-15: fine-tuning double opt-in, preference centre, cleaning out inactive contacts. Sept 16-30: educational series + micro re-permission. Oct: themed content; Nov: the most active segment gets sales content.
Which GA4 events do you use for automation?
Basic: lead_submit, flow_started, email_sent, email_open, email_click, checkout_start, conversion. Critical conversions are also sent server-side via the Measurement Protocol.
Stripe Payment Links: monthly/yearly and discounts?
Each of the three packages has a monthly and a yearly link; with yearly you get 2 months free. These links will be under the CTAs (we swap them in at go-live).
Is there A/B testing and a control group in the pilot?
In the pilot we suggest a minimal control group (e.g. 10-20%); systematic A/B testing (subject, timing, CTA) comes when scaling.
When does the lead go to a person?
Immediately on submission: a HubSpot task + notification. If there is no response for 5 minutes, an SLA alert. On a no-show, rescheduling by email.
What third-party costs should I expect?
ESP/SMS fees, any HubSpot add-ons, and Stripe transaction fees. These are not part of the package fee.
✍️Automated content production
What content pipeline can I expect?
Brief → AI draft → human editing → SEO check → publishing → sharing. With channel distribution via HubSpot/Make.
What ensures quality and that the content is free of rights issues?
Style and fact-checking list, plagiarism check, source attribution. Final approval by the client is required.
How customisable are the tone and brand voice?
We train it on your own brand guide, and fine-tune the AI with examples and banned phrases.
What packages are there and how much do they cost?
Content Lite: €99/month (1 blog post, 4 social posts, 1 newsletter draft)
Content Standard: €199/month (3 blog posts, 8 social posts, 2 newsletter drafts)
Content Pro: €329/month (5 blog posts, 14 social posts, 4 newsletters, 4 ads)
With a yearly subscription you get 2 months free. A 14-day watermarked pilot is available.
Is it made with AI? Won't it sound machine-written?
We use AI to speed things up, but an editor refines every piece: brand voice, tone, fact-checking. Before publishing there is an on-page SEO check and a plagiarism check.
How fast is the turnaround?
Lite/Standard: ≤5 working days, Pro: 48-72 hours. We give you a content calendar, with weekly review slots.
What is the difference between the pilot and a live subscription?
Pilot (14 days): watermarked demo, 1 small round of revisions, internal sample only.
Live subscription: no watermark, editable materials, more revisions, publishing rights.
Does Google penalise AI content?
No, as long as it is useful, original and meets the quality guidelines. We work with human QA, a source log and SEO checks.
What if I need more than the package includes?
Extra blog post: €49, social post: €19, newsletter: €29, ad copy: €19, editor hour: €39. For larger needs we suggest the Pro package.
